Executive Administrative Assistant
  GENERAL ACCOUNTABILITY
The Executive Administrative Assistant, under the general supervision of the CEO or assigned designee, primary responsibilities will be to assist in the day-to-day administrative operations of the executive team.

SPECIFIC DUTIES

  • Prepare confidential documents regarding personnel or business situations.
  • Facilitate communications with internal and external contacts by screening calls, greeting visitors, furnishing information or referring to appropriate responder.
  • Prepare and secure travel arrangements for the executive team.
  • Assist team with workload, including meeting preparation; backup other departments.
  • Initiate responses to routine letters; prepare general correspondence, and presentations utilizing specific software including Microsoft Excel, Power Point and Word computer programs.
  • Assist in file maintenance, manage calendar and scheduling.
  • Maintain communications with other administrative staff.
  • Maintain confidentiality and relate to upper management.
  • Coordinate daily, weekly, and monthly schedules.
  • Prepare agendas for meetings, presentations, take meeting notes, transcribe minutes.
  • Coordinate office mail, and thank you letters and gifts to sponsors and donors.
  • Maintain donor data base and office supply inventory and replenishment.
QUALIFICATONS
A Bachelor’s degree in Business Administration or 3-5 years of executive administrative experience in a fast paced environment. Must possess excellent organizational, decision making, time management, follow-up skills, the ability to multitask, proactive judgment, attention to detail and display professionalism. Must be an initiator and ability to work under pressure. Demonstrate functional knowledge of administrative office practices and procedures pertaining to the data entry of sensitive and confidential information. Excellent interpersonal skills including patience, flexibility, consideration, discretion, tact, confidence and initiative. High proficiency in Microsoft Excel, Power Point, Word, and Outlook Express. Strong grammatical and proofreading skills.
